Working Environment
We work on open plan trading floor style office with around twenty five colleagues, which brings interaction and excitement. We’re currently on the well-connected Baker Street, easy to reach and close to all the amenities and this role is for our new self-designed head office nearby on Shouldham Street, which we’re moving to at the end of May.
We are looking for a responsible Receptionist and Office Administrator to perform a variety of administrative and clerical tasks. Duties of the Receptionist and Office Administrator include assisting in daily office needs and managing our company’s general administrative activities.
As a Receptionist and Office Administrator, you will be the first point of contact for our company. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
To be successful as a Receptionist and Office Administrator, you should have a pleasant personality, as this is a front of house role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.
Ultimately, a Receptionist and Office Administrator’s duties and responsibilities are to ensure the guests are welcomed positively, and executes all administrative tasks to the highest quality standards.
The Position
- Handle administrative requests and queries from directors and managers.
- Organising and scheduling appointments.
- Planning meetings.
- Writing and distributing emails.
- Maintaining contact lists.
- Booking travel arrangements.
- Submitting and reconciling expense reports.
- Provide hospitality to visitors.
- Liaising with third parties.
- Liaising with executive and senior administrative colleagues to handle requests and queries from managers and directors.
Experience and Skills
- Experience as an receptionist or office administrator.
- Knowledge of office procedures.
- Proficiency in Microsoft Office.
- Time management skills and the ability to prioritise work.
- Written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
