A City based Urban Design are recruiting for an Executive Assistant to provide 1:1 support to the Director. This is a very busy and varied role that offers exposure across the business, getting the EA involved in all areas of the practice, especially within marketing which is why previous experience within this is key
WHAT YOU’LL DO
Acting as gatekeeper and the first point of contact for the Director, this role involves a high degree of responsibility, confidentiality and discretion. It is essential that the Executive Assistant is a first-class communicator, confident, professional and highly proactive.
Typical duties include:
WHO YOU ARE
You will have some EA experience and exposure within marketing, the proven ability to multi-task, whilst remaining calm under pressure meeting deadlines. Experience working within a creative enviornment is also desired.

- Extensive diary management for the Director
- Inbox management, actioning or redirecting emails as appropriate
- Co-ordinating overseas video conferences
- Travel co-ordination
- Marketing support/project coordination
- Monthly expense management
- Updating the CRM database as required
- Project admin and following up on action points
- Coordinating overseas conference calls across different time zones
- Proactively action any queries or information requests
- Assisting with client research and preparation of presentations
- Attending meetings to take minutes and follow up on action points
- Manage and maintain company contracts database
- Coordinate leadership meetings
- Managing the paperwork and filling for the Director
- Adhoc admin support to the sales team as required
WHO YOU ARE
You will have some EA experience and exposure within marketing, the proven ability to multi-task, whilst remaining calm under pressure meeting deadlines. Experience working within a creative enviornment is also desired.
Essential requirements:
- Educated to degree level or equivalent
- 3-5 years EA support experience with exposure in Marketing
- Excellent knowledge of Microsoft Office
- Strong attention to detail
- Proactive nature and enthusiastic approach
- Good use of initiative
- Excellent interpersonal skills
- High attention to detail
