Facilities Team Leader (Leading Law Firm)

A fantastic opportunity has arisen for an experienced Facilities Team Leader (Client Services) to join a well-respected top tier Manchester City Centre law firm to provide day to day management of the client services across the office, operating at maximum efficiency and providing a 5 star service at all times to both external and internal clients.
 
You will be required to have at least 3 years supervisory level experience within a similar role, experience of using a booking system and IOSH management safety is desirable but not essential.
 
Flexibility is required between 8.00am – 6.00pm, 35 hrs, Monday to Friday working on shift rotation. Some overtime may be required.
 
Duties include
  • Day to day line management responsibilities for reception team, including managing performance/absence issues, authorising holiday/logging absence as required, conducting annual and half year appraisals and providing coaching/development to the team with support from Head of Client Services.
  • Holding regular one to one meetings with all team members as well as general team meetings.
  • Responsibility for ensuring a 5 star service is delivered to the office consistently.
  • Monitor, control and continually improve housekeeping standards.
  • Supporting the Head of Client Services in acting as the direct client liaison for internal/external clients and tenants any issues regarding services, providing timely responses and appropriate solutions in order to maintain a high level of customer service.
  • Maintain a high profile/visual presence throughout the office, building strong relationships with key clients and internal customers, becoming a 'go to' person for reception queries.
  • Put forward ideas for improving processes, service and increasing efficiencies.
  • Planning resource for the client services team, including team rota cover and leading recruitment activities with the support of the Head of Client Services.
  • Oversee the management of Client Services Coordinator in relation to duties of setups, AV, logistics for seminars and events.
  • Overseeing the management of the catering contractor (in-house or outside), including regular operational reviews and client feedback in support of the Head of Client Services.
  • Reconciling and controlling catering costs to ensure accuracy of recharging process and timely onward billing to clients.
  • Regular liaison with the finance and billing teams to ensure amendments and third party invoicing is correct and complete.
  • Code, log and check all invoices relating to the client services, including taxis.
  • Supervision and co-ordination of the advanced bookings function, ensuring that all requests for meeting rooms are dealt with efficiently and all catering and AV services are entered on to the system accurately.
  • Completion of monthly management report, providing statistics and management data as requested.
  • Involvement in local projects, taking the lead on occasions.
  • Working closely with the Health & Safety Representative and Assistant Facilities Manager to monitor the working environment in order to adhere to relevant health and safety standards, including correctly recording and reporting hazards for both external and internal clients.
  • Attending management meetings and other department/team meeting as required.
  • Other duties as reasonably required by the Head of Client Services.
