Are you looking to relocate to Dubai?
Our client is one of the largest oil and gas companies in the Middle East. They are looking for an Personal Assistant to support the CEO. Based in Sharjah, which is commutable from Dubai, you would be based in corporate offices, supporting the CEO with his business arrangements. You would be working alongside other PAs within the Chairman's office. The role is hugely varied, though involves a huge amount of gatekeeping, diary management, travel, help with the management of portfolio of businesses and investments, no one day will be the same. The CEO is greatly involved in all his businesses and has a very positive presence in the office.
Administrative and Technical Support Responsibilities
Identifies and implements improvements and modifications to clerical and administrative procedures in order to ensure the highest standards of support to CEO’s business activities.
Focal point of contact for coordinating CEO’s business matters, including arranging appointments, liaising travel arrangements, etc.
Manages the CEO calendar requiring interaction with both internal and external executives to coordinate a variety of business meetings.
Prioritises and manages multiple activities simultaneously relating to the CEO’s responsibilities and follows through on issues in a timely manner.
Creates and processes letters, e-mails, and other documents independently for the CEO.
Prioritises workload and assists with managing the CEO’s time in ensuring business targets and meetings are scheduled.
Documentation
Designs and maintains appropriate filing and data retrieval systems in order to ensure ease of access to required information/documents at all times.
Maintains and updates inventories of CEO’s corporate gift giveaways and brochures.
Establishes and maintains documentation management system.
Reporting and Communication
Reports to CEO on all business and personal related matters.
Maintains and exhibits an excellent working relationship with all internal staff members and CEO’s external business relations across various organisations.
Continuous Development of Position
Conducts research on administrative/clerical best practices. Maintains professional and technical knowledge by attending educational workshops and benchmarking professional standards relating to Admin work.
