A leading pharmaceutical company requires an experienced administrator to support a busy long term project on a temporary basis for up to 18 months

Key Responsibilities

  • Ongoing data management
  • Responsible for setting up key sites/centres within clinical supply systems and gaining validation
  • Tracking of detailed progress against plans, specifically centre contracts, clinical registrations and required Event training.
  • Providing Cross-functional support to the project team. Acting as a source of information on administrative issues, providing relevant information and support to other members of the department as required, to ensure a smooth running of the team.
  • Maintenance of database
  • Responding to emails in the group inbox
  • Educational event planning
  • Development of internal communication content and engagement plan - with support from medical team
  • Meetings co-ordination and administration
  • Data capture, metrics management and reporting requirements
  • Document management and approval co-ordination
  • Budget and contractual management, maintaining finance files for all projects so that the project leads are aware of their budget against their plans.
  • Vendor and purchase order management - ensuring they are all processed on time.
  • Tracking budgets
  • Processing financial information for the team (invoices & expenses) checking and validating information for completeness and investigating any errors/discrepancies.
  • Working to ensure that all invoices are paid in a timely manner.

Skills and Experience

  • Previous experience of working in an office environment in an administrative role is essential
  • Ability to co-ordinate the activities of others and handle multiple projects
  • Demonstrated planning skills
  • Superior communication (verbal, written and listening) organisational time management and follow up skills
  • Ability to effectively prioritise
  • Ability to work independently, take initiative and collaborate with others
