Executive Assistant / Client Manager 

£40,000 - £50,000 pro rata DOE

Potential for 3+ days a week homeworking and 1 to 2 days working in Central and North West London

 

We are looking for a highly capable, experienced Executive Assistant/ Client Manager to manage the day to day running of our business and support our team of six passionate coaches.

London Speech Workshop is a leading communication coaching company, founded in 2008. We are a small company, highly committed to offering something of value, so sharing this ethos is absolutely essential.

A truly cross-functional role, the successful candidate will report to the MD, effectively running the day-to-day operations of the business. The majority of this managerial role is client support and administration, requiring exemplary customer service to ensure a smooth and efficient operation. There is a clear sales aspect to the role, following up on warm leads and potential clients, phoning them to understand their needs and suggest how we can meet their goals. You will also be the first point of call for coaches, assisting them with administrative support and ad-hoc duties where required.

For the right person there is an incredible opportunity to help shape the strategic direction of this growing business, acting as a sounding board to the Director when it comes to business development and new ventures. There will also be a chance to get involved in ad-hoc projects and tasks, such as procurement, researching and securing new office locations or assisting with recruitment.

This would suit a highly organised, intuitive and friendly career EA/BA/ PA with high EQ and an interest in psychology, coaching and /or communication. The role is partly home based so would suit someone who enjoys flexible working, and has a good home office set up. The job is challenging, but rewarding, you'll be expected to juggle lots of balls and keep things running smoothly, be vocal about strategic improvements, and by the same note get the daily satisfaction of supporting our clients as they progress through their courses.

The job comes with a starting salary range of £40,000 to £50,000 depending on experience, and perks and benefits, social events and annual bonus.

 

Your responsibilities will include:

  • Handling all incoming enquiries, managing the coaches calendars for client bookings
  • Sales (following up interested leads) and effectively selling sessions
  • Taking payments from new clients
  • Support on-boarding of new clients and renewal of existing clients
  • Ensuring client satisfaction, retention, operational efficiency and quality
  • Partnering with MD to identify improvements within the client relationship strategy, systems and processes.
  • Working on elements of business development such as marketing strategy, copywriting, helping with corporate pitches and business expansion
  • Facilities management of 3 office locations
  • Overseeing coaches’ administrative, practical duties and training.
  • Ad hoc PA duties as required
  • At the end of the first year success would mean consistently high lead to conversion rate (around 75%), high coach satisfaction and coach involvement in initiatives, happy clients with a 95% or more satisfied rate and achievement of MD's financial growth plans (through offering strategic support).

To be considered you must be:

  • Highly motivated, managing own time and working alone
  • Absolutely unflappable, managing well under pressure
  • Strong attention to detail, extremely organized and a natural multi tasker
  • High emotional intelligence and empathetic, people person with natural warmth
  • Proactive initiative taker and problem solver
  • Excellent communication skills written, verbal and listening
  • Able to stay late on the rare occasion the role demands it

Skills and experience

Essential

  • Managing multiple calendars and diaries
  • Client relationship management in a b to c setting
  • 5+ years experience of working as an EA/ BA/ Client Manager
  • Highly numerate and literate, with strong skills in using MS Office, G Suite, Dropbox

Desirable

  • Office/ Facilities management
  • Managing and maintaining a database of client details and/or experience of using a CRM system (we use HubSpot, but experience of SalesForce or something similar would also be advantageous)
