Salary:£35,000 - £40,000

Client:Our client is a large and market leader financial services company with offices spread around the country, who is currently looking for a Senior Legal Personal Assistant to join the Legal (Investments) Team and looking after their day-to-day schedules on a maternity cover basis (9 months Fixed Term Contract). The team is fast paced and dynamic with continuous client development and relationship building. As such, the candidate must be able to work to tight deadlines.

Duties:

  • Full PA support to the Head of Governance and 3 Legal Managers and provide secretarial support to the Legal (Investments) wider team (comprising 3 lawyers), including the management of team communications and other team activities.
  • To build effective working relationships with key staff who support the Head of Governance’s key internal and external stakeholders. 
  • Act as the Head of Governance’s “ambassador” when dealing with relevant senior staff both internally and externally.
  • To manage the Head of Governance’s and Legal Managers’ diaries and to coordinate meeting requests.  Must be able to prioritise between conflicting time demands and forward plan prior to meetings. 
  • Arranging international and national travel, including the preparation of itineraries and travel packs.
  • Assisting in the preparation of presentations and meetings internally and externally.
  • Processing and reconciliation expenses/invoices and overseeing the Legal Budget .
  • Assistance with the preparation of group reporting.
  • Preparing documents including word processing correspondence, memos, reports and presentations.
  • Attending team meetings, taking minutes, noting action points and following them up.  Having the confidence to interrupt during meetings to ensure agenda is kept to time.
  • Dealing efficiently and confidentially with internal and external correspondence, emails and telephone calls.  Filtering, prioritising and actioning as appropriate. 
  • Collate conference invitations, maintaining relationships with conference organisers and negotiate discounted rates.
  • Upkeep of document management system (eg saving NDAs to the system).
  • Maintain team record keeping processes and run quarterly reports.
  • Ad hoc requests – scanning / binding / photocopying.

DESIRABLE CANDIDATE:

  • Previous Senior Legal Personal Assistant experience 
  • Previous financial services/legal background 
  • Strong educational background
  • Strong IT skills
  • Self-starter; 
  • Able to work well under pressure
