Our client is a Charity in Ilford. They are looking for an experienced Senior EA to join their team. The Senior EA will be responsible for providing high quality and seamless support to the Corporate Director, whilst undertaking project work and managing the other EA’s within the team, ensuring the team receive consistent and effective administrative support.

Responsibilities:

  • Identifying ways of ensuring the Directors time is managed effectively, using your own initiative
  • Providing efficient administrative support
  • Ensuring the EAs are successfully fulfilling the requirements of their role and that admin resources are being effectively utilised
  • Building effective working relationships with the whole department, trustees and internal and external stakeholders. Working with the other EA’s to manage communications between the departments
  • Adapting and improving administrative processes
  • Acting, when appropriate on behalf of the Director
  • Ensuring the Director is prepared ahead of meetings and events, with agendas and relevant documents
  • Ensuring emails and correspondence are sorted, distributed and responded to in a timely and efficient manner. Maintaining confidentiality at all times
  • Producing agendas and minutes for meetings, managing document/copy distribution and taking responsibility for capturing actions and ensuring they are followed up on time
  • Researching and preparing documents
  • Reviewing papers commissioned by the Director
  • Managing the EAs, including induction and transitions. Meeting with them regularly to review performance and assess the effectiveness of the admin support being provided
  • Provide admin support to the appropriate trustee when required
  • Management of multiple projects
  • Planning and managing executive travel and expenses
  • Managing and signing off costs against the office and where required project budgets
  • Maintaining a clear and logical filing system
  • Supporting the wider corporate leadership team when required at peak times or to cover absence
  • Any other admin tasks as directed by the Corporate Director

They are looking for someone with previous experience of successfully managing a team of EAs/PAs and Administrators. You must have the ability to manage an exceptionally busy mailbox and have the confidence to take pro-active action when required. You must be confident and a clear communicator and have the ability work autonomously.

Other requirements:

  • Previous EA experience at Director level
  • Highly organized with exceptional attention to detail
  • Experience of handling confidential and sensitive information
  • Proven ability to build and maintain effective working relationships at all levels
  • Previous experience monitoring a budget
  • Previous experience of monitoring and supervising the work of others
  • Ability to prioritise own workload
  • Advanced proficiency on MS Office Suite
  • Ability to work to tight deadlines while remaining calm under pressure

Occasional travel may be required to provide offsite admin support or to attend meetings. You will on occasion be required to work unsocial hours.
