My client, an exciting PR Content Agency is looking to welcome a top class, experienced Team Assistant to support the CEO, Operations Director & Team. This London based agency, in the heart of Westminster, is a well built company and is in need of a capable and confident PA to help run the day-to-day. This is a really friendly environment. As Team Assistant to the CEO, Operations Director & Team, your day-day duties will include:

  • Diary Management - extensive use of Gmail and diary management of busy schedules, ensuring PA and Chair are aware of key deadlines, timings and staff movements. Screening telephone calls, enquiries and requests, and handling them when appropriate. Processing expenses.

  • Meetings - organising internal and external meetings and events including venue, rooms, and budgeting, catering, IT facilities. Arranging monthly full company meetings and facilitating monthly Executive Board Meetings, creating agendas, minutes and follow-ups. Management of meeting room calendars for 3 meeting rooms.

  • Office Management - manage the running of the office from organising new equipment, the re-stocking of supplies.

  • Reception - managing the agency's reception desk, fielding phone calls, welcoming guests and receiving deliveries.

  • Travel - booking regular travel domestic and international, creating itineraries and ensuring smooth running of business trips.

  • Operations / HR - assisting Operations Director with facilitating psychometric testing, managing new starters inductions / contracts.

  • New Business - Supporting the New Business/ Marketing team assisting with research, asset creation, leads generation, tracking and analysis and other tasks.

  • Events - Assisting Operations Director with planning and organising regular internal and external events. Managing invites, guest lists, materials, assets, catering.

  • Digital - managing updates and maintenance of the company website, intranet, and agency social media channels.

To be he successful Team Assistant supporting the CEO, Operations Director & Team you will have experience in the following skills:

  • Previous experience as a Team Assistant within a Creative Business.
  • Advanced IT skills - Word, Excel, Power point, Mail merge etc.
  • Basic knowledge of social media platforms. Experience with WordPress is desirable.
  • Excellent organisational skills and initiative to get the job done.
  • The ability to prioritise and be flexible - longer hours may be needed to meet team deadlines.
  • Good communication skills and team working skills, to act as a link between different members of the team.
  • An enthusiastic, tenacious and confident nature.
