Administrative Assistant - Executive Search - West End

Our client is a global Executive Search firm.

Description

Our client is a global executive search firm looking to recruit a permanent Administrative Assistant, who will support the PA team and the wider office. Duties will include:

  • Typing proposals, job descriptions, CVs, research reports and weekly updates.
  • Researching clients.
  • Assisting the PA team with the arrangement of candidate travel - booking flights, typing detailed itineraries.
  • Booking meeting rooms.
  • Arranging Skype/video conferences for global client/candidates.
  • Producing reports.
  • Distributing the post.
  • Ordering flowers for reception.
  • Ordering stationery and grocery supplies
  • Restocking the kitchen, replacing damaged crockery, reporting any faults with the equipment.
  • Producing the daily meeting timetable.
  • Assisting the Office Manager with the general upkeep of the office, replacing light bulbs, faulty of damaged items and upkeep of meeting rooms.
  • Assisting with the arrangement of social and corporate events - sending invitations, booking venues.
  • Providing holiday and sick cover for the PAs, as and when needed.
  • Obtaining qualification checks for candidates - liaising with universities and obtaining signed declarations.
  • Answering the phone, emailing detailed messages to relevant staff members.
  • Proof reading documents.
  • Preparing PowerPoint presentations.
  • Booking taxis and couriers.
  • Ensuring meeting rooms are kept tidy.

Profile

The successful candidate for this role will

  • Have worked in a corporate environment ideally supporting a team
  • Have previously worked as an Admin Assistant or Team Administrator/Secretary
  • Have excellent organisational, time management and multi tasking skills
  • Be a good team player
  • Have excellent communication and interpersonal skills, with the confidence to liaise at all levels.
  • Be able to meet deadlines set.
  • Good IT skills - Word, Excel, PowerPoint, Outlook

Job Offer

On offer is a salary of £25,000 - £30,000 + fantastic benefits package.
