Job Purpose Summary:
- To provide dedicated administrative assistance to the Accreditation Team
- To support the activity of the Accreditation Team’s engagement with its Faculty of Assessors and IAAB
- To enable and ensure effective & efficient interaction with business schools
- To deal with all inbound Accreditation related queries and associated correspondence in a timely fashion
- To represent the Accreditation Team internally where required
- To attend AMBA & BGA events within the UK and internationally as required
Key Responsibilities and Accountabilities:
- Support Accreditation Directors to achieve Accreditation Team goals and targets
- Actively maintain a schedule of activities for re-assessment visits and new accreditations assessments, informing schools of upcoming visits / reports in line with Accreditation procedures where necessary
- Book travel arrangements and where necessary hotel accommodation for the Accreditation Team & Faculty of Assessors
- Handle financial activities such as processing orders and expenses; working with the Finance Team to ensure efficient invoicing & payment of expenses
- Issue accreditation certificates to accredited schools
- Draft formal accreditation letters and other communication where appropriate
- Ensure data held on CRM, databases and websites for clients and stakeholders is up to date and maintained in line with data protection legislation and liaising with the Membership Team where necessary
- Provide a first point of contact for accreditation queries, dealing with a range of enquiries via email or sent to the accreditation mailbox, using initiative and knowledge of accreditation and the business
- Establish and maintain filing and office systems, including the shared drive and shared mailbox, distributing enquires to relevant Accreditation Team members
- Service meetings for the Accreditation Team as required (including invitations, agendas, meeting documentation and presentations; booking rooms and refreshments; servicing meetings co-ordinating agenda, minute taking and all preparatory and post meeting administration)
Qualifications, Skills and Experience:
- Commitment to excellent customer service at all times
- Substantial experience in an administrative roles and ability to multitask
- Highly effective organisation skills, with a detail and solutions-oriented approach
- Strong communication (written & oral) and interpersonal skills; ability to liaise with all levels of staff across different sectors and organisations
- Ability to work well both independently and within a team; motivated and able to work with limited supervision
- Good time management skills and the ability to operate effectively with a busy and varied workload
- Familiar with working to strict turnaround times and standard operating procedures
- Data protection awareness and knowledge and ability to handle in line with company procedures. Knowledge of legal compliance of the Data Protection Act
- Ability to work flexibly in response to changing organisational requirements and to different styles of team working
- Understanding of the Higher Education / MBA environment (desirable)
