Executive Assistant to Chief Operating Officer

UCL Grade 7: £35,328 - £42,701 per annum, inclusive of London Allowance

 

We are seeking an Executive Assistant to provide exceptional one-to-one administrative and organisational support to UCL’s Chief Operating Officer (COO). The newly appointed COO is accountable for a portfolio of Professional Services (PS) Divisions (Finance, Human Resources, Information Services (ISD), Legal and Estates), ensuring that these core services deliver an effective strategy and service to enable UCL 2034, the university’s commitment to a long term vision of world-leading excellence in all areas of its academic mission. The Executive Assistant’s role is pivotal to empowering the COO to provide direction and leadership to the core PS Directors.

The role will involve managing the COO’s diary and mailboxes, ensuring all communications are handled with the upmost discretion and confidentiality. You will co-ordinate and organise meetings and the associated logistics, whilst servicing senior level meeting through effective minute taking and agenda setting. The COO will look to you to manage complex situations and resolve any issues, and to facilitate her readiness for meetings, often by preparing high quality documents, reports and presentations.

You will have significant experience in a similar or related Executive Assistant or Personal Assistant role, delivering excellence in the provision of support services at Director level. Furthermore you will have experience in office/facilities management and an excellent working knowledge of MS Office packages.

Your ability to organise a varied and demanding workload whilst meeting deadlines, will be coupled with your excellent communication skills and professional attitude when interacting with a wide range of stakeholders at all levels. Resilience in the face of challenge and sound judgement with the confidence to decide on the appropriate action will be instrumental to this role.
