We are recruiting an PA/Office Manager for a publishing company based in central London. This is an excellent opportunity for an experienced PA/Office Manager to manage the overall office environment ensuring it is maintained and kept secure at all times. They are responsible for managing all clients experiences whilst onsite.
PA/Office Manager responsibilities:
- Manage full induction process for new starters and all leavers and all associated admin.
- Ensure Building Management processes/requirements are adhered to.
- Manage Building Maintenance Schedules.
- Attend Building Management meetings and communicate outcome to Operations Manager and Directors where necessary.
- Manage company client experience whilst onsite.
- Record and maintain office furniture inventory.
- Ensure the office floor plan is kept up to date and manage desk allocations.
- Ensure Fire, Health and Safety procedures are met and adhered to.
- Ensure the aesthetics, cleanliness and security of the office is maintained and monitored.
- Review processes, ensuring they are fit for purpose.
- Monitor and manage all office repairs, using approved providers.
- Manage and control expenditure for office consumables, kitchen equipment, services, hardware etc.
- Communicate office procedures to staff and ensure they are met and maintained.
- Manage the Receptionist and PA/Office Administration Assistant.
- Ensure consistency across London and Scotland offices.
- Be aware of office hardware supplies/contracts/renewals/facilities.
PA responsibilities:
- Work closely and confidentially with Directors.
- Manage Directors diaries.
- Schedule internal and external meetings for Directors.
- Book offsite venues for meetings, lunches and dinners.
- Support the Events Manager.
- Ensure all staff and departments are supported and assist with ad hoc requests.
This is a 9 month FTC to start immediately.
