Client: Our client is a large and prestigious Group, with offices spread between Cambridge and globally, who is currently looking for a jack-of-all-trades, high flying Executive Assistant to join the Senior Leadership Team, providing pivotal support to the CEO. The successful candidate will have an enviable track record of being on top of their duty with extensive diary and travel management and taking initiative/managing projects. The role will be fast paced and dynamic with continuous personal development, international travel with the CEO and relationship building. As such, the candidate must be able to work to tight deadlines.

Duties:

  • Ability to anticipate and proactively manage the diary of the CEO & Senior Leadership Team.  Plan and prepare calendars (scheduling up to one year ahead).  Reschedule and rework calendar as required in order to prioritise and manage their time effectively.
  • Extensive knowledge of the organisation and key stakeholders both internal and external.  If new to the organisation, then getting up to speed with this will be a priority. 
  • Manage and direct complex travel arrangements (both international and domestic); create and distribute highly detailed itineraries.  Ensure all tickets, transfers, visa requirements and accommodation are in order.
  • Provide outstanding email support.  Respond or redirect where appropriate.  Strong gatekeeping.
  • Reconcile expenses including credit cards and personal expenses. Prepare and collate all documents and supporting papers in advance of any meetings.
  • Establish and maintain office systems, reference books/systems, contact lists, as appropriate for the smooth running of the relevant departments.
  • Attend meetings and site inspections, and liaise with internal support functions such as Procurement and Events, which may require travel. 
  • Be a problem solver, don’t be afraid to take charge of a situation where necessary. Ability to multi-task in a fast-paced, high pressure, environment. Able to proof read documents and suggest improvements where required. Be accountable for the role, suggest improvements to maximise efficiency.  See projects through to the end.  Ensure work is produced to a high standard even under tight deadlines.
  • Strong relationship management and communication skills.  Be a team player but act under your own judgement when necessary.

  • Extensive Executive Assistant experience to senior level required
  • Strong computer skills and advanced level proficiency and experience with MS Office.
  • Ability to speak and act with confidence.  Manage relationships with employees and senior leaders equally.
  • Detail orientated, thrive in a busy high intensity environment.
