JOB OUTLINE
To help act as a day to day point of contact across the Agency, alongside the other Senior Receptionist, consistently delivering a proactive and efficient reception service.
You are required to help ensure the reception services are maintained to exemplary standards. You will play an active role in supporting and delivering the infrastructures and business systems required to enable the business to deliver against its objectives and deliverables. Enhancing services and journeys for visitors and staff.
RESPONSIBILITIES
Includes, but not limited to:
- Scheduling of rotas
- Overall responsibility for the updating and development of all reception guides
- Liaising with IT to ensure the telephone directory is updated with new joiners and leavers
- To serve as a coordination point between the internal operations of the agency and the external world of their clients.
- To provide professional support to the Operations, ensuring that company standards are maintained and that client expectations are met within the agreed objectives
Reception Duties:
Day-to-day duties includes, but not limited to:
- Following standards and procedures as outlined in the Reception guidelines
- Answer the main switchboard, screen calls and transfer calls to relevant departments or take messages and email them to relevant staff
- Meet and greet clients and visitors
- Maintenance of the reception area
- Have full knowledge of room booking systems
- Ensure meeting rooms are tidy, stationery stocked and correctly set up for upcoming meetings
- Maintain a comprehensive and accurate working record of room bookings
- Take bookings for meeting refreshments, breakfasts and lunches
- Check next day’s bookings and make amendments as necessary
- Complete daily tasks and duties set out in the Reception guide
- Admin requests (Outlook photos, staff movements, update telephone lists)
- Ad hoc administration support
- Working with the hospitality team to ensure services are delivered correctly to all meeting rooms (including clearing of rooms where necessary)
ESSENTIAL SKILLS
- 5* Reception skills
- Proven experience in service delivery within a fast paced, high energy reception team
- Knowledge of Outlook, PowerPoint, Excel and Word
- Previous experience in supervisory role
- Polite, tactful, diplomatic and reliable
- Energetic, confidence and enthusiastic persona
- Ability to work under pressure
- Able to communicate in a calm professional style
- Excellent telephone manner and interpersonal communication
- Customer and client focused
