Location: West End, Central London

Client: Our client is a large and prestigious real estate services company, with offices spread around London and globally, who is currently looking for a jack-of-all-trades Team PA to join a team of 10 surveyors and looking after their day-to-day schedules. Known to be an award winning employer, this is a great opportunity for you to make an impact by ensuring the smooth running of the team. The team is fast paced and dynamic with continuous client development and relationship building. As such, the candidate must be able to work to tight deadlines.

Duties:

  • Gatekeeping – with a busy team of 10, you must proactively do the telephone and email gatekeeping and management promptly for absent team members
  • Extensive diary management
  • Travel management (mainly local within London)
  • Audio dictation and minute taking when needed
  • Client liaison (inviting for events, logging the responses, etc.)
  • Financial management for the team (invoices, expenses, billing etc.)
  • Events management: schedule, book and arrange resources for conferences, meetings, appointments and travel. Follow firm policies for contracting with external and internal suppliers.
  • Organise induction of new team members
  • Provide general office support including faxing, photocopying, filing, typing letters, scanning, binding, archiving, opening and disseminating post, dealing with queries when necessary including IT issues (liaising with IT Department)
  • Typing & formatting of correspondence and reports, binding & scanning documents
  • Do research for the team to support them with their projects and business development
  • Proactive management of team contact databases

Desirable profile:

  • Secretarial qualification (not essential)
  • Strong educational background
  • Previous experience supporting a team
  • Previous experience managing expenses
  • Audio dictation, proof reading, and accurate typing
  • Desire to get involved with projects and research
  • Desire to work in a fast pace busy environment
  • Great Microsoft Office skills
  • Experience working with specific invoicing software is desirable
