EA / Legal and Office Assistant

The role is based in fabulous West End offices but there will be a requirement to travel to Uxbridge one day per week (costs paid).
Our client is a highly entrepreneurial financial services business and they’re looking for an experienced EA to support their Head of Legal and to ensure the office runs smoothly. A high proportion of the role will be to support the Leadership Team by taking full minutes of their various committees and Board meetings which, being a regulated environment, are a crucial part of the business therefore experience and a willingness to undertake that element of the role is essential.
They are looking for a flexible and adaptable EA who has operated in a financial services or legal environment, happy to be the first point of contact in the office and the go-to person for all administration functions.
The client is happy for someone to work some days from home/shorter or flexi hours.
Day to Day Tasks:
- Taking formal minutes for various group company and project meetings
- Preparation of meeting packs/agendas/resolutions for group company meetings. Management of meeting dates/times and invitations.
- Administrative duties including coordinating post and courier, booking meeting rooms, ordering office supplies and related items, management of all third-party suppliers retained in connection with the office
- Producing documents, briefing papers, reports and presentations. Devising and maintaining office systems, including data management, filing, etc.
Knowledge and Expertise:
- Experience in working for a city legal services firm with previous experience of taking minutes to a standard that stand up to the UK regulatory bodies
- Familiarity with drafting board resolutions and putting meeting packs together
- Working in a legal services firm would be a distinct advantage
- Excellent typing skills- Good computer literacy, Speed and accuracy essential.
- Communicates with clarity, accuracy and commitment. Composes clear, direct, concise complete messages
- Presents information clearly, concisely, accurately and logically. Focuses on key points.
- Works collaboratively with and supports work colleagues to achieve mutual goals.
