You will be responsible for assisting the General Manager and CFO with administrative tasks and facilitating the daily needs of the office environment, including reception duties, receiving and greeting visitors, answering phones and directing calls, and other tasks as assigned on an ad hoc basis. Applicants should have a genuine desire to meet the needs of others.

We are looking for a multi-tasker with excellent written and verbal communication skills. Candidates should have an upbeat attitude while maintaining a polite and professional demeanor at all times.  

The position is busy and fast-paced, therefore will need someone who has worked in a dynamic and ever-changing environment.

Responsibilities will include but not limited to: 

  • Provide high-level administrative support
  • Ensure all reports and presentations are finalized in accordance with company standards
  • Manage calendar of appointments and travel bookings
  • Complete expense reports
  • Manage all files and ensure all are kept organized and up to date
  • Handle confidential information with discretion
  • File and retrieve corporate documents, records and reports
  • Receive, greet and assist visitors.
  • Screen calls and route callers to the appropriate party
  • Manage all incoming and outgoing deliveries
  • In charge of conference room bookings and getting all rooms ready for meetings
  • Responsible for booking and organizing company-wide travel
  • Collate office supply orders and present to accounting department
  • Handling a variety of general office tasks such as filing, keeping the office tidy and organized and ensuring adequate levels of all office supplies
  • Maintain polite and professional communication via phone, e-mail and mail
  • Open, sort and distribute mail

What we are looking for: 

  • Highly organised; excellent at prioritising and multi-tasking
  • Multi-disciplined, multi-tasker
  • Knowledge of Microsoft Suite
  • Detail oriented
  • Highly organized 
  • Professional
  • Hands-on with a good work attitude
  • Experience in high fashion or luxury goods industries will be preferred, however this is not at all essential
