NEW ROLE - Personal Assistant, Risk & Compliance working for a leading Law Firm !

To provide high quality organisational and legal PA support to up to three Senior Risk and Compliance Managers, but also provide ad hoc support to the General Counsel and other members of the legal team working with the Risk and Compliance as required.

Responsibilities/Duties

PA/Secretarial
* Provide PA support to up to three Senior Risk and Compliance Managers assisting with managing matters and points of escalation from the CDD and Conflicts team and as well as the wider firm.
* To complete audio dictation and copy type letters, memos and reports as required and to prepare signed correspondence for dispatch.
* Proactive and advance monitoring of diaries for the Senior Risk and Compliance Managers reminding them of diary commitments and taking responsibility for ensuring that they have all supporting paperwork and information for each meeting or appointment.
* Attend internal client meetings and take comprehensive minutes and notes and be responsive to the needs of the team.
* Manage each the team's phone calls and on-going requests from the firm and colleagues and be proactive in providing assistance where possible including taking accurate messages and passing them on promptly or trying to assist and responding their behalf, if appropriate.
* Overseeing and prioritising incoming email, post and voicemail when the team are out of the office, acknowledging receipt and responding on their behalf, if appropriate.
* Dealing with all internal and external clients in a timely, professional and courteous manner.
* Prepare and type, proofread and amend documents, either from dictation, general instruction or by personal drafting. Documents will include letters, reports, attendance notes, memos, faxes, and emails, ensuring that all copies (electronic and paper) are retained and filed accurately.
* Preparing presentation slides and materials for internal/external meetings and seminars in the Firm's house style.
* Create files and manage the filing system (paper and electronic) by ensuring all relevant documents are sorted and accurately filed regularly.
* Liaising with support departments to resolve problems on the team's behalf, taking ownership of the issue and following up where appropriate.
* Provide support for other administrative duties - photocopying, faxing, responding to emails, answering the phone etc.
Legal
* When required assist the current PA's supporting the General Counsel, the Best Practice team and other members of the co-opted team of solicitors on internal complaints handling.
* Assist the General Counsel and members of the co-opted team of solicitors with a range of regulatory advice to partners and associates across the firm.
* Conduct legal research, analysis and interpretation from relevant sources in relation to the identity of relevant entities, in their investigation of complaints and other compliance issues.
* Prepare bundles and other legal documents as required.

Skills/Experience
* Excellent organisational skills and attention to detail.
* Strong PA/Secretarial skills
* Excellent knowledge of Microsoft Word, Excel, Outlook, PowerPoint and document management.
* Diary management/PA skill set e. travel and accommodation bookings, and arrangement of senior management level meetings.
* The role is for someone who can be responsive to the changing needs and priorities of the Firm and be able to have active responsibility for certain aspects of their role as may be agreed from time to time.
* This role requires absolute discretion and political astuteness. The role will involve access to confidential information and contact with the senior managers in the Firm.
* Exposure to risk and compliance within in a legal or other regulated professional services environment preferable but not essential.
* Experience and knowledge in areas such as legal conflicts, complaints procedures, due diligence/AML checks and SRA rules preferable but not essential.
