World-Famous Events Agency - Creative Team Assistant

Our client, an internationally acclaimed events agency is looking for a Creative Team Assistant who thrives on being efficient and organised to support three members of the senior leadership team and assist the creative team in its day-to-day operation.

Leadership Team Support

• Support three leadership team members with diary and travel arrangements, expenses and timesheets.
• Assist members with the annual appraisal process, as required.

Creative Team Assistant

• Issue contracts or confidentiality agreements to freelancers, ensuring signed contracts are returned and renewal dates tracked.
• Manage new starter process from first day and ensuring they have everything they need.
• Process purchase orders, invoices and payment for freelancers, allocating time to projects. 
• Ensure time sheets are up to date and assist with invoice and expenses queries.
• Liaise with IT and facilities team when changes to seating allocations are required.
• Keeping accurate holiday and absence records for the team.
• Coordinating the business card process by arranging regular photo shoots and liaising with printer.
• Providing support for trainees, coordinating university show visits, tracking interviews and feedback.
• Arranging company gatherings, team outings and celebrations (e.g. birthdays) as required.
• Be the point of contact for any admin problems or queries when the studio manager is absent.

Requirements:

You have a minimum of 2 years' experience in a similar role,

You are highly organised with exceptional administration skills and attention to detail.

You are unfazed by pressure and enjoy the energy of working with a team.

You have good people skills (for the difficult moments as well as the easy ones).

You have a warm, positive attitude and are always willing to put in that extra 10%.
