An outstanding and famous school (rated outstanding by Ofsted), is looking for an Assistant Logistics Manager to help with the School Timetable. The ambition of their vibrant and energetic team is to transform the lives of all children, including those from disadvantaged backgrounds. My client is a high-functioning, fast-paced school office. They are looking for someone who takes multi-tasking to a different level; someone who is bright, highly organised, has attention to detail and deals well under pressure.
Reporting to: Office Manager and Headmistress
Hours of Work:
Mon-Thurs 8:00am – 4:30pm, Fri 8:00am-3:30pm (Term Time)
Mon – Fri 9:00am – 4:00pm (Non-Term Time)
During May and June (GCSE and A Level exam period) start time will be earlier (approx. 7.00am) and later (approx. 5.30pm) on exam days.
The overtime can then be taken as “time off in lieu” during non-term time.
Holiday: The Employee will have 30 days holiday to be taken during non-term time with 14 days compulsory working; 4 days during May Half-Term (exam period) and 10 days during summer holidays (GCSE and A Level Results)
Salary: Up to £30,000 per annum, depending on experience

There are currently up to 26 duties at any one time, every hour throughout the day. That’s 240 duties per day. There are a lot of moving parts and a lot of staff to ensure are in the right places.

- Work with Senior Leadership Team (SLT) to create a full school timetable
- Assist the Deputy Head with scheduling cover lessons when a teacher is absent
- Create a timetable for music lessons
ASSIST THE LOGISTICS MANAGER WITH THE STAFF DUTY ROTA
There are currently up to 26 duties at any one time, every hour throughout the day. That’s 240 duties per day. There are a lot of moving parts and a lot of staff to ensure are in the right places.
Creating and managing the School duty rota:
- Arranging cover of duties when staff are absent
- Ensuring the duty rota is timely and accurate
ASSIST THE EXAMS OFFICER WITH THE FOLLOWING:
- To liaise with the staff regarding examination entries
- To create exams schedules
- To download all relevant base data (exam boards) into Exams Management system
- Keep up to date with all JCQ rules and regulations and deadlines
- To liaise with the Finance Manager on the payment of examination fees according to the school’s charging policy
- To liaise with the SEN Administrator to organise access arrangements for all students who have special education needs
- To be flexible in busy periods during exam time especially between April to the beginning of July
- To prepare and liaise with SLT regarding results day and enrolment
- To be available on results days in order to process and issue examination results to staff and students as per examination board requirements and school policies and procedures
- Dealing with post results enquiries, processing and communicating this to departments and parents/carers.
ADDITIONAL COMMITMENTS
- Send reminder emails to staff regarding logistical timings and instructions
- Prepare timings for last day of each term
- Provide support to the Office Manager and assist with day to day smooth running of the office. You must have the ability to develop new ideas and improve ways of working.
- To support and promote the School’s ethos
- Work collaboratively with the Office Team; parent calls, assisting with duties when required
- Keep the logistics how-to guides up to date
PERSON SPECIFICATION
- Experience in timetabling on a large scale is desirable but more importantly an enthusiasm for solving analytical problems or puzzles
- Experience of working on own initiative
- Experience of the use of a wide range of computer software (e.g. word processing, spreadsheets, Office 365)
- Experience of working in a school environment is desirable but not essential
- Special abilities / aptitudes
- Have excellent IT skills including the use of data management software and advanced Excel skills
- Have excellent analytical skills
- Possess excellent communication skills, with the ability to communicate at all levels
- Have excellent organisational skills with the ability to work to tight deadlines
- Flexibility and ability to work as part of and to contribute to the school administrative team
- Ability to work effectively under pressure and to manage own workload
- Ability to work methodically, with exceptional attention to detail
