One of the world's leading tech companies specialising in artificial intelligence is looking for a Team Coordinator to join their team on a temporary basis. The successful candidate will be providing scheduling and coordination support for the staff and be the main point of contact for ad-hoc duties. You will have previous experience working as a Team Coordinator or a high-volume scheduling role.

Responsibilities:

  • Running systems to ensure the day-to-day administrative requirements of the team are dealt with efficiently and systematically
  • Processing administrative tasks quickly and efficiently, including liaising with internal finance and legal teams, and ensuring that a broad range of activity is coordinated effectively
  • Providing ad-hoc administrative support to the team (setting up new systems, documentation, ordering required items, booking rooms etc)
  • Onboarding and working closely with a range of suppliers, ensuring they are registered on our systems, and have an excellent experience of working with us
  • Overseeing the budget, including recording team spend and labelling spend data
  • Assisting with the onboarding of temps and other workers' coordination and scheduling
  • Coordinating events and meetings involving both external and internal stakeholders; providing effective scheduling for a wide range of communications projects
  • Working with the team lead's Executive Assistants when required for team scheduling and Director-level diaries
  • Assisting with external visits to the office as required
  • Ironing out ambiguity and proactively resolve issues
  • Anticipating obstacles before they arise and resolve them

Essential Skills and Experience:

  • A minimum of 2+ years' experience within a high volume administrative role
  • Highly organised with the ability to juggle multiple priorities in a fast-paced and dynamic environment
  • Flexible and highly responsive to the needs of the project, team and wider group
  • Expert knowledge of using standard office tools, including spreadsheets
