The UK’s largest independently owned Accountancy Firm are now seeking a Partners Secretary to join their business on a fixed term contract, starting immediately.
WHAT YOU’LL BE DOING
This client offers a relaxed working environment while also staying professional and hardworking. Through the duration of employment, you will also get to support and assist some fantastic people. The candidate which is successful will be supporting two Partners and Associate Directors. In addition to this, you will also get the privilege to manage the team that deals secretarially.
Your attention to detail is paramount in this role but will be highly rewarding and will certainly keep you busy.
WHO YOU'LL BE
All applicants for this role, will need to have proven experience supporting at Partner level. Ideally, you would have worked within Accountancy previously however, my client is open to reviewing CVs from a range of corporate backgrounds.
Responsibilities:
Taking full control of diary movements, arranging appointments, meetings and lunches
- Booking meeting rooms and taxis
- Client interaction
- Dealing with travel and accommodation arrangements
- Assisting with interviews for secretarial vacancies
- Assisting with the procedures for leavers and new joiners to the business
- Keeping track of holidays for secretarial staff
- Continuous review and suggestions of improvement to departments’ processes and procedures in conjunction with head of department and other relevant partners
- Distribution/collation of admin and board reports for the department
- Amending client details and ensuring database information kept up to date
- Completion of own and partners timesheets
- Taking accurate messages
- Calling clients on behalf of partner
- Ensure feedback is obtained from partners down to assistant managers as to the performance of team secretary to ensure efficient running of the team
- Being first point of contact for support staff if there are any problems
- Ensure there is always adequate secretarial cover by managing holidays and sickness leave
- Organising of and co-ordination of training for all secretaries (and temps) on all IT systems
- Manage appraisals of secretarial team
Skills:
- Planning and organising: will need to be able to organise his/her time so as to meet deadlines.
- Planning and organising the other secretaries, delegating work efficiently should be able to deal with problems as they arise, also in the absence of partner/manager to be proactive in his/her role
- Communication: good grammar and spelling so as to be able to produce documents accurately and quickly, the ability to draft own correspondence ability to deal effectively and politely with people at all levels, both internally and externally
- Leadership: will be managing the secretarial and filing staff in the department
- Team work: to work well with other secretaries in the department, flexible and willingness to help others is essential
