Your new role
- Answering and screening internal and external calls and transferring as appropriate and/or taking and relaying messages.
- Providing information to callers.
- Greeting visitors entering the Company to include clients, suppliers, contractors and delivery operatives.
- Booking meeting rooms and relevant diary management.
- Escorting visitors to meeting rooms.
- Preparing refreshments for visitors.
- Ensuring all meeting rooms and the reception area are tidy and well maintained.
- Perform other administrative reception duties such as filing, photocopying, etc.
- Checking invoices including couriers invoices and assisting with record keeping on the Company Software (Iris and Star)
- Sorting incoming and outgoing post, couriers and faxes.
- Booking taxi's and couriers as requested.
- Placing stationery orders for the office.
- Assisting with Facility and Office Management general administrative support.
- Assisting with facilities duties (weekly fire alarm system test, communicating with suppliers, checking deliveries, replenishing kitchen stocks)
- Assisting the Director and his PA with ad-hoc projects (Company corporate events, clients lunches, new suppliers researches etc.)
What you'll need to succeed
- Well presented with a responsible and professional attitude
- Enthusiastic with a bubbly personality
- Fluent in English and Italian or French, with other languages being a plus
- Ability to organise, multitask, prioritise and work under pressure
- Ability to be resourceful and proactive in dealing with issues that may arise
- Excellent attention to detail
- Hands-on individual willing to be involved in an array of activities
- Excellent interpersonal skills with the ability to form effective relationships with clients and colleagues
- Excellent communication and organisational skills
- Experience and knowledge of administrative procedures
- Proficient in MS Outlook, Word and Excel
