6-8 week Temp job in the West End
Hays are recruiting on behalf of a boutique, high end property company who are looking for an Executive Assistant/Office Manager to join their team on initially a 6-8 week temp basis. This job potentially could go permanent for the right candidate, though this is not guaranteed.
The main purpose of this role is to provide support to senior management with organisation, scheduling, correspondence, human resources, and meetings. Takes responsibility and ownership of office organisation, project management, deadline compliance, and important documents and files
Duties would include:
- Management of the Managing Director's emails and diary including travel arrangements
- Management of the Public Contact emails
- Preparation of letters, sales particulars and marketing initiatives, liaising with staff, suppliers and clients
- Taking phone calls, ordering stationary supplies, arranging team meetings
- Taking occasional meeting notes and circulating as required
- Supporting the team with ad hoc requirements
- Payroll and HR Function & Pension Submissions
- Business Accounts, Invoicing, HMRC Payments, PAYE Payments
- Dealing with all office agreements i. lease line providers/ phones/ mobiles/ insurances/ printer
- Filing all business paperwork/ Filing all Managing Directors personal paperwork
- Processing Managing Directors' expenses
- Managing databases and filing systems
- Implementing and maintaining procedures/administrative systems
- Conduct research/ analysis as directed by the Managing Director
- Arrange any maintenance office visits
- Taking on some of the manager's responsibilities and working more closely with management;
- Deputising for the manager, making decisions and delegating work to others in the manager's absence;
- Involved in decision-making processes
- Hour by Hour reminders of Managing Directors day
- Arranging all parking permits and vehicle related issues ie: car accidents/ insurance/ TAX/ MOT
- Ordering all kitchen supplies, Tea, Coffee, Milk etc
- Dealing with office lease/ renewals/ move
The ideal candidate would:
- Have experience as an EA/ Office Manager in the property industry
- Have a positive and energetic outlook
- Be a highly organised individual with good time management skills
- Be able to work well as part of a small team
- Have excellent written and verbal communication skills
- Be competent at MS Word, Excel and Outlook
- Discretion and trustworthiness: you will often be party of confidential information
- Flexibility and adaptability
- Good oral and written communication skills
- Organisational skills and the ability to multitask
- The ability to be proactive and take the initiative
- A knowledge of standard software packages and the ability to learn company-specific software if required
