Our client, one of the world's most successful Advertising and Comms Networks, is looking for a dynamic person to bring energy and enthusiasm to what is an extremely busy and lively office.

The PA/EA would also support the extremely busy Account team as and when required.

Predominately, this role would involve management of diaries, organising meetings and interacting with the client and the network of other agencies. This role can expect frequent contact with Management and Senior Clients.

The role would be primarily responsible for:

  • Diary management for the Global Client Lead
  • Creating daily schedules for the Managing Director
  • Booking and co-ordinating travel – flights, hotels and taxis to and from airports, supplying detailed itineraries outlining all travel and hotel details
  • Meeting co-ordination – They are looking for someone who can develop good relationships with other PAs in the building to facilitate this.
  • Taking responsibility for booking meeting rooms and preparing any relevant information for the meetings
  • Building good relations with clients and their other agency partners. This role is viewed as a key part of the agency hub by the clients
  • Typing of presentations and other documents – more specifically, using PowerPoint skills to bring presentations to life through such things as creating animation, insertion of images, and links to moving images.
  • Organising couriers, cars and ‘special’ post requirements
  • Doing expenses and timesheets
  • Ad hoc team support when needed

The position will require someone who takes initiative, is highly organised, reliable, can juggle various tasks, as well as consistently demonstrate situation sensitivity and confidentiality.  You should be extremely ‘on the ball’, able to work efficiently, be adaptable and flexible to varying workloads, bright, outgoing and be able to think ahead on behalf of the team.  This role would be perfect for someone with a team attitude, sense of humour, great computer skills and phone manner.  This is a demanding role that requires you to take hands on approach, and an active role in what is going on in the day-to-day activities.
