Part-Time Executive Assistant (2 days per week)

A goal is a dream with a deadline! Knowing your deadline is 2 or 3 days per week as an Executive Assistant to Partners within a leading international law firm, your challenge is to make sure that you offer a seamless ‘right-hand’ full EA service on a part-time basis. As an Executive Assistant, you will have previously worked at C-Suite level and within the professional services arena i.e. Legal, Banking, Finance, Insurance or a FTSE 100 company and be used to working under extreme pressure and have the ability to ‘make a difference’. Holding the fort and acting as the gatekeeper are part and parcel of an Executive Assistant role, and dealing with highly confidential information requires a ‘Miss Money Penny’ to be able to pre-empt situations ahead of time. First-class communication and organisational skills will ensure that you are ahead of the game in this highly rewarding and bespoke opportunity.

As a Part-Time Executive Assistant, you will be responsible for: 

  • Providing comprehensive ‘right-hand’ EA support to the Fee Earners
  • Inbox management, dealing with client confidentiality and actioning emails on behalf of the Fee Earners
  • Acting as the first point of contact for all internal and external communications
  • Setting up Executive Board meetings, preparing agendas and committee papers, attending and taking minutes at meetings
  • Extensive client liaisons on a global basis
  • International and multi-destination travel arrangements, flights, accommodation, visa applications, itineraries
  • Client event management – venue sourcing, invitations and all event logistics
  • Proactive diary management, setting up conference calls and video conferences, internal and external meetings
  • Building strong relationships with business services teams and maintain effective and efficient use of business support services
  • Assisting with financial and transactional management i.e. billing process, WIP and client matter engagement, time recording

Personal Competencies:

​You will need to be able to demonstrate strong organisational and communication skills, good commercial awareness and business acumen in this diverse and responsible role, taking ownership of decisions and delivering a high-quality service. You will also have:

  • Previous EA experience of working in a fast-paced environment
  • Ability to work under pressure, manage conflicting workloads, prioritise well and work to deadlines
  • Excellent organisational skills, ability to prioritise conflicting workloads and be able to work as part of a team
  • Advanced MS Office knowledge and minimum typing speeds of 60-65wpm
  • Minimum 5 GCSE’s Grade C or Above or equivalent
