A start up specialising in artificial intelligence is looking for an Office Manager to join their team on a permanent basis. The successful candidate will create and manage an effective office environment that reflects the company's values and allows staff to work to the best of their ability while being pragmatic about business needs. The Office Manager will be responsible for ensuring that the organisation is running efficiently and building for change the company grows. Being part of a rapidly growing start-up, everyone in the Operations team needs to be light-footed, quick to respond, and design systems which can change, adapt and respond to scaling. You will have the opportunity to help build an effective operations function from the ground up, and we are looking for people who believe they will thrive in this challenging and rewarding environment.


  • Working alongside the Head of Operational Excellence to develop office management strategy which is built on the foundation of the company's business objectives, mission and values
  • Designing day-to-day office and facilities services to ensure the best possible working environment for employees, that promotes the company's culture and values
  • Building strong relationships with key stakeholders, and maintaining a clear overview of the needs and demands of the different users of the office and facilities
  • Setting standards for operational excellence within office and facilities and help others (staff, suppliers & contractors) to achieve these standards
  • Encouraging and developing new ideas and initiatives with the objective of enhancing service levels and improving efficiency
  • Sourcing and managing external contractors and suppliers to ensure that the office and facilities services are delivered in line with the company's service levels
  • Controlling and managing the budgets associated with the office and facilities, and maintaining a Preferred Suppliers List which balances cost efficiency against service standards
  • Ensuring the company's premises are safe and secure places to work for employees, guests, visitors, contractors and other users
  • Contributing as required to projects and activities that involve the use of the office and facilities, e. the fellowship, internal events
  • Providing leadership and support within the Operations team and undertaking and supporting projects as required

Essential Skills and Experience:

  • A minimum of 3+ years Office Management experience
  • The ability to plan and manage organisation wide projects, such as an office move or renovation
  • The ability to juggle day-to-day pressures and big picture planning, and knowing when to delegate
  • Strong relationship building skills and an understanding of how to take people on a journey with you
  • A client focused approach - towards staff, visitors and guests
  • People management skills and experience
  • Experience designing, improving and scaling day-to-day systems
  • The confidence to act quickly and decisively in urgent scenarios, such as emergency repairs
