Team Assistant to Finance Department And Secretarial Manager

With a total of 11 offices across the Globe and a growing presence within London City, my client is now looking for a proactive Team Assistant to join the large team, supporting the Finance department and Secretarial Manager.

WHAT YOU’LL DO

This is a brand-new opportunity for an experienced Team Assistant to grow and flourish. My client is seeking someone who will come in and make the role their own. They have huge plans for the business within the next 18-24 months and to become a complete shared service team with a team leader heading up the whole division! This could be a chance for you to showcase your skills and to aim for the top.
  • Extensive diary management for the team.
  • Providing administrative support by assisting and supporting the senior secretaries with tasks,
  • including photocopying, scanning and printing ensuring documents are complete and legible.
  • Global Travel co-ordination.
  • Supporting the preparation of bulk documentation, files and bundle.
  • Assisting with and maintaining the department’s shared inbox to ensure all jobs are completed within the requested timeframe.
  • Completion Documents – saving documents for Completion Bibles onto CD/USB stick.
  • Formatting/creating simple letters and documents.
  • Inputting business cards onto Interaction.
  • Inputting simple expenses.
  • Assisting with meeting room bookings, liaising with reception.
  • Taking accurate and detailed telephone messages.
  • Undertaking Land Registry searches.
  • File opening – managing AML forms/conflict checks etc.
  • Working with data sites/Xtranet, drop boxes.

WHO YOU ARE

To be successful, you will have three to four years’ experience in a similar Team Assistant role. Coming from Legal would be ideal, however they will also consider other professional services such as Finance.

Essential requirements:

  • Excellent written communication skills.
  • Self-confident, proactive, pragmatic approach to tasks and projects.
  • Computer literate including at least an intermediate knowledge of Word and Excel - accurate
  • Typing with a speed of 45-60 WPM.
  • Strong organisational skills, with an ability to keep calm under pressure.
  • Positive disposition, self-motivated and able to demonstrate energy and enthusiasm in all respects.
  • Excellent interpersonal and team working skills, ability to work effectively at all levels within an organisation.
