Your new company
A Public Sector organisation in Kidderminster currently seek a temporary Administrator paying £10 + holiday pay.

Your new role
Your duties will include but are not limited to:

  • To act as first point of contact for the acute service to telephone enquiries related to communicable diseases and incidents/outbreaks from health professionals and deal with calls/enquiries from patients and the public.
  • To enter on the HP Zone database all notifiable diseases received from GPs and Laboratories and to produce legally required statutory weekly returns to Centre of Infections.
  • To follow office procedures for logging telephone messages onto HP zone and deal with queries where appropriate.
  • Receive, sort and distribute post and maintain tracking and bring forward systems.
  • To advise Environmental Health Officers of all food poisoning cases received to the Unit
  • To update and maintain all case papers and computerised databases of infectious diseases, updating collating and supplying information as instructed.
  • To send out to GPs saliva testing kits for measles, mumps and rubella and to log results when they are returned.
  • To arrange outbreak meetings when necessary, and to circulate information fact sheets, as appropriate to schools, colleges, universities etc.
  • To manage diaries of consultants and health protection nurses.
  • To ensure meetings are arranged and that appropriate agenda and minutes are sent and suitable venues organised
  • To take minutes and provide administrative and secretarial support for meetings, seminars and committees.
  • To provide efficient word processing, administrative and clerical support to consultants and health protection nurses
  • To be responsible for preparation of documents, photocopying and ensuring proper maintenance of filing system, bring forward system and tracking systems.
  • Maintain confidentiality and requirements of Data Protection Act. To copy and distribute various documents, maintaining confidentiality when necessary.
  • To be sympathetic and sensitive to the requirements of clients, carers and the general public when communicating by telephone or face to face.
  • Participate in the efficient team working of the department.
  • To ensure adequate levels of printing, stationery and other consumables are maintained
  • To devise and keep up to date department standard operational procedures.
  • Organising induction programmes for foundation doctors, top up trainees, specialist registrars ensuring they have a personal programme in place for visits to environmental health departments, microbiology, GUM clinics, the ambulance service and infection control units.
  • Be flexible and work closely with colleagues to ensure adequate cover is provided during annual leave /sickness etc.
  • To work within the Policies and Procedures of the Organisation and the host Trust in whose offices the Team is located.
  • Any other duties - in line with this grade of post - as may be delegated from time to time by the Consultant /UnitManager


What you'll need to succeed
You MUST HAVE the following to be considered for this role:

  • Strong PA or Administration experience
  • Experience of working within a Healthcare environment is beneficial but not essential
  • Excellent organisational, IT and communication skills
