They are now seeking a dynamic, confident Senior Team PA to assist Senior Execs in the C-Suite. You’ll manage diaries; co-ordinate international travel and itineraries; arrange meetings; produce presentations; organise events as well as office management and looking after the main reception area.

This Senior Team PA opportunity would suit an experienced professional services PA with advanced MS Office skills, bags of initiative and confidence and meticulous attention to detail. You’ll always be one step ahead and will be known for your formidable organisational talents!

Daily Responsibilities in this Senior Team PA position:

PA Support

  • Provide support to C-Suite Executives
  • Arrange meetings, compile and distribute agendas, bind documents
  • Design and produce presentations, including complex Word documents and Excel spreadsheets
  • International and domestic business travel arrangements including visa applications and hotel bookings
  • Provide concierge services to the wider team including ad hoc administration requests
  • Event organisation, assisting with staff and customer events and annual Christmas party
  • Work with other Team PAs to manage meeting room booking system
  • Arrange catering with the on-site Chef for meetings and client entertainment bookings
  • Financial administration including expense processing

HR & General Services Support

  • Manage the main reception and visitor records
  • Liaise with building management, reception and cleaners as required
  • Manage the office switchboard
  • Assist with general stationery stocks and ordering, including business cards
  • Assist with the arrangement and follow up of couriers, special delivery and postal services - incoming and outgoing, domestic and international
  • Manage administration supplier contracts and relationships
  • Compile records of all instruction manuals, guarantees, safety notices for equipment and goods purchased

The Ideal Candidate for this Senior Team PA

  • Previous PA / secretarial experience within professional services
  • Advanced skills using Microsoft Office Suite
  • Proactive, personable and self-motivated
  • Excellent attention to detail
  • Able to work discreetly and to strict deadlines
  • Excellent organisational skills; able to work with minimum supervision, be focused and reliable
  • Exceptional communication skills, both written and verbal
  • A team player, with a can do, positive attitude!
