One of London's leading educational institutions is looking for an Events Officer to join them on a 6 month fixed term contract until July 2019. The successful candidate will be providing support to the Graduation Team and the Alumni Relations Team in the lead up to their graduation ceremonies. You will be a self-starter, degree educated and have excellent communication and interpersonal skills.

Responsibilities:

  • Leading on the logistical planning for the ceremonies, working closely with the venue, the caterers, academics, the orchestra, choir and Director of Music
  • Managing and sourcing suppliers and ensuring they are booked in ahead of time, are fully briefed and have access to the venue as necessary to fulfil their duties
  • Acting as the main point of contact for all aspects of ceremony planning and provide timely and professional progress updates and briefs to those involved
  • Briefing senior members of staff, academics and volunteers, where applicable, regarding the event arrangements
  • Arranging and attending meetings with key stakeholders to update them on progress and resolve any issues
  • Working closely with the VIP Team to ensure their needs are met for VIP guests and senior staff for the ceremonies
  • Working closely with the Design and Editorial Team to ensure that the citations for the awardees are ready and send onto the relevant senior staff stakeholders
  • Ensuring that the catering provided for ceremony participants is appropriate and in place around each ceremony
  • Liaising with press officers and photographers to ensure they are properly briefed in advance
  • Ensuring that risk assessments have been completed as necessary and shared with the relevant teams
  • Problem solve logistical and resource issues that arise in the process of organising the event
  • Leading post-event debrief meetings, capturing feedback on event logistics and intelligence on attendees
  • Preparing reports detailing post-event evaluation and recommendations
  • Ensuring suppliers, internal teams and event contributors are appropriately acknowledged and thanked following graduation
  • Managing the relationship with the Alumni Relations Team, ensuring clear communications between the teams
  • Assisting with ad-hoc duties as required

Essential Skills and Experience:

  • Educated to degree level or equivalent
  • Excellent communication and interpersonal skills
  • Ability to use own initiative to identify potential problem areas and solve issues before they arise
  • Able to prioritise a heavy and diverse workload with multiple deadlines
  • Excellent attention to detail with ability to see the bigger picture
  • Self-confident and articulate
