Key responsibilities

  • Being the first point of contact for visitors arriving at the office
  • Maintaining reception area and meeting rooms
  • Arranging booking of meeting rooms for staff
  • Answering the phone professionally, taking messages and transferring calls
  • Keeping track of stock, ordering weekly food and other office supplies
  • Keeping the office organised and tidy at all times
  • Distributing parcels to employee employees
  • Providing cover for travel booking both domestic and international
  • Onboarding of New starters through the office tour
  • Preparing desk setup for new starters and manage the seating plan
  • Assisting the Office Manager with day to day duties and ad-hoc projects.
  • Carry out general administration tasks for the Executive Department, including producing Human Resources documents and letters
  • Provide appropriate reports from the HR database for the purpose of auditing and monitoring employee data and training
  • Assist in formal meetings, such as employee disciplinarians and grievances undertaking such tasks as may be required by the Executive Officer

About you

  • Previous experience in office administration/events planning or similar, in a high-pace environment
  • Excellent organisation/prioritisation skills, used to juggling a demanding workload
  • Extremely proactive, with positive energy, team player and helpful attitude
  • Ability to stay calm under pressure and bring order to chaos
  • HR experience beneficial but not essential 

The ideal candidate will have 1-2 years experience in a similar role. It is essential that you are able to navigate systems i.e. Outlook (diary management and scheduling), Excel (basic data entry) and other Microsoft packages.
