We are looking to hire a versatile, charismatic, and adaptable Float Team Assistant who can work alongside an Executive Assistant providing the highest level of support to our top ranked analyst teams based in London, to;
- Assist the EA with the team’s extensive European and International travel, to include visa applications, whilst taking into account the firm’s travel policy to ensure cost efficiencies at all times
- Timely and accurate telephone answering, ensuring all messages are passed on in an effective/appropriate manner
- Accurately process all expenses in a timely manner in accordance with the firm’s expense policy for all analysts
- Update the team’s Company Results calendar and spreadsheet
- Assist the team EA with calendar management to include collating the whereabouts of the team on a daily basis and sending to various internal stakeholders
- Ensure the team’s research marketing packs are up-to-date
- Update the team’s disclosures on a monthly basis for all models using “Clausetool”
- Participate in weekly team meetings and take notes of action points
- Assist the EA with organizing events to include client lunches, roundtable dinners with guest speakers, conferences and any other ad hoc team entertainment
- Providing assistance with team’s Research product when required
- Assist other members of the buddy group and the wider assistant team when required
- Deal with numerous ad hoc internal and external client requests for data etc and general ad hoc tasks, i.e. scanning, photocopying, printing and filing when required
You Are:
- Highly motivated, with a cheerful, positive can-do attitude
- Flexible and adaptable in a fast-pace environment with the ability to multi-task
- Good communicator, confident and professional at all times, both verbal and written
- A team-player with good organizational skills and the ability to work under pressure, dealing with multiple deadlines and changing priorities
- Resourceful, a self-starter who is consistent, reliable, a good time-keeper, who enjoys taking initiative to deliver results with good attention to detail
- Able to maintain confidentiality
- You Have:
- 2+ years’ experience in a previous TA role, preferably within financial services entity or other blue chip environment
- Experience of working with a large team
- Sound knowledge of all Office applications - Word, Excel and Powerpoint
- Knowledge of Concur and CRM preferable but not essential
- A fantastic can-do attitude and commitment to deliver the best service to clients
- A calm, cheerful, but professional and resilient attitude, with the ability to problem solve
