 Legal Secretary to General Counsel and Partner

2-3 days per week, ideally Tuesday to Thursday, open to discuss some flexibility to hours and working from home

£35-45,000 base salary pro-rated

 

Accountabilities & Activities:

  • Diary management: to manage busy, changing diaries, organise meetings and the distribution of information where required.
  • Meeting preparation: co-ordinate and collate information for meetings.
  • Document processing: transcribe and proofread amendments to legal documents.
  • Minutes: take meeting minutes.
  • Companies House filings: assist in the preparation of Companies House documentation.
  • Legal spend: to provide extensive support in the management of external legal spend including but not limited to arranging for invoices to be approved and then entered for payment and ensuring the excel spreadsheet captures external legal spend and is kept up-to-date and accurate.
  • Drafting: to draft routine correspondence, type legal documentation to a high standard, and produce legal documentation.
  • Document management: to ensure the correct and safe filing of original deeds, agreements and other documents and correspondence into the storage system and to update a schedule containing general information regarding these documents. To ensure correct filing of electronic copies of material documents and to update a schedule containing details of such material documents.
  • Other: to perform general office duties, e.g. faxing, photocopying, filing, archiving, shredding confidential papers, collating and submitting for reimbursement the monthly expenses.
  • Document execution: to arrange for documents to be completed and signed by relevant signatories.

Qualifications, Training & Experience:

The job-holder needs to have the following experience, qualifications and personal qualities:

  • Excellent written, verbal and interpersonal skills with the ability to communicate at senior level with professionalism.
  • Excellent legal secretarial and administration skills with fast and accurate typing skills (minimum 70-75wpm) with proficiency in MS Office, especially Word, Excel and PowerPoint. 
  • Experience in working as a legal secretary in private practice, in-house team or equivalent experience.
  • Ability to work in a pressurised environment.
  • Proactive, resourceful approach.
  • Willingness to support all Legal team members and other stakeholders as required.
  • Ability to organise own workload and priorities with guidance from Legal Director/Head of Legal in prioritisation and allocation of tasks.

Judgement Skills:

The job holder will often work unsupervised, therefore it is important that the job holder can work under his/her own initiative, changing priorities to demands within the workplace.  This will include answering routine letters and telephone enquiries often without supervision.

Working with the General Counsel the individual will be dealing with sensitive and confidential matters and therefore the individual must be able to deal with all matters with tact, sensitivity and diplomacy. The job holder may sometimes need to work to deadlines and under pressure.
