Leading multi national with a London Head Office is looking to hire a dynamic PA to work within their marketing department.

This organisation is based in the west end in state-of-the-art offices, the environment is collaborative and fast-paced.

The ideal candidate should really enjoy working within a large organisation and understand the pressures and challenges of such an environment. The ability to interface with stakeholders and build an internal network is imperative.


A multi-faceted support role that a wide range of duties:

Duties:

*Extensive diary management, arranging numerous internal and external meetings.
Arranging conference calls and video conferences across multiple time zones. Need to
be flexible and adaptable to constantly changing diary and priorities.
*Arrange national and international travel, including itineraries, visas, transfers
and accommodation.
*Acting as a gatekeeper, sorting e-mail for priority and responding appropriately,
managing incoming correspondence, answering and screening calls.
*Drafting email correspondence for the Executives.
*Attend operational and team meetings and take meeting actions that are typically
confidential in nature.
*Excellent interpersonal and communication skills required. Build working
relationships across a wide range of internal departments. Acting as first point of
contact for all internal and external inquiries.
*Build excellent working relationships with EAs of the Global Leadership Team and
liaise extensively with EAs in other regions.
*Speak with clients and their Assistants, building rapport and a positive working
relationship.

Conferences and Events
* Ensure compliance with Legal with respect to conference registrations
* Logistics of conferences, quarterly management forums and Board meetings arranged
including venues, equipment, catering, dinner arrangements, off-site excursions,
transportation, guest room bookings, etc.
* Tele- and video-conferences arrangements
* Proactively support other London based Team Assistants with events organisations and
administration


Projects
* Participate in projects with other Team Members and Marketing Team Assistants, as and when
required


Requirements for this Executive PA role

* Experience of supporting a large number of people at multiple levels in the organisation
* Prioritise work appropriately, and respond accordingly as priorities change
* Apply good attention to detail
* Strong organisational skills with the ability to prioritise and multitask -strives for
excellence
* Excellent verbal and written communication skills
* Excellent IT skills CONCUR a must!
* Attention to detail and commitment to deadlines
* Work calmly under pressure
* Work with multiple parties
