PURPOSE OF THE JOB:
Support the Operations Manager with the smooth running of the operational functions. The Operations Assistant will have significant responsibilities within Marketing & Events, Administration and Office Management.
Marketing and brand support:
- Liaising with marketing supplier for new material for LinkedIn, Twitter and websites;
- Assisting with whitepaper project process;
- Assisting with collateral mail outs;
- Refreshing website content and working with website host when needed;
- Managing and refreshing online ‘Hunted.com’ recruitment profile;
- Support with any internal client/candidate events;
- Ordering branded stationary such as business cards;
- Christmas card mail outs to candidates/clients.
Office Management:
- Booking flights and hotels for international trips;
- Booking restaurants for staff events;
- Arranging summer and Christmas parties;
- Arranging congratulatory gifts/flowers for candidates/clients/employees;
- Keeping company up to date on the status of competitions;
- Purchasing technology equipment;
- Ordering office and kitchen stock;
- Ordering stationary;
- Booking of meeting rooms;
- Assisting with setting up new starters / leavers;
- Landlines (taking switchboard calls, message taking, transferring calls, conferencing).
Administration:
- Standardisation of all River documents including whitepapers, intro to River presentations, retainer proposals and long & short list documents;
- Putting together month end presentations for company meetings;
- Updating daily TV screen presentation;
- Assisting with reviewing and tracking client and supplier terms of business;
- Assisting with background screening compliance of the contractor care function;
- Refreshing and creating River document templates.
- Formatting CV’s (ad-hoc) and checking external CV formatter’s CV’s and feeding back;
- Monitoring team’s adherence to attaching CVs to database;
Accounts and cost control:
- Assisting Operations Manager with ad-hoc finance tasks.
Projects:
The role is very project focussed and can vary based on the demands of the business. Projects on the horizon are as follows;
- CRM upgrade;
- Marketing collateral structured campaign;
- Contractor background screening;
- Office Move in 2020.

Working Hours:
Full time, Permanent.
Monday to Friday, 9am-5pm (will not be required to work weekends or bank holidays)
