A unique Workflow position has just become available with a top global business service provider based in the City. Within this position, you will be responsible for providing support and ensuring a first class service and experience is delivered at all times. You will be required to work as part of a studio account team to coordinate the briefing, scheduling, resourcing and deadline management of all client requests across creative and presentations.
You will be coordinating and delivering small to medium sized projects from briefing through to production and will take full responsibility for taking and interpreting client briefs, establishing client expectations and providing oversight through to delivery. You will be a team player, liaising closely with clients, operators and colleagues internationally to ensure all documents are amended and delivered as agreed.
This position is client facing and involves developing key client relationships along with the delivery of excellent customer service. The role will support a number of activities including delivering operational best practice, adherence to commercial/financial processes and reporting requirements. Excellent organisational and communication skills and a collaborative approach are required and project management skills are essential. An understanding of the pitch process in a corporate environment would be advantageous.
Key responsibilities
- Ensuring the smooth management and scheduling of all creative work through the studio
- Receiving client briefs and establishing cost and lead time estimates
- Trafficking all creative work through to the most suitable team, ensuring successful delivery throughout the creative and production teams
- Ensuring the client is fully aware of project timings, costs and risks at all stages
- Owning the resourcing schedule, WIP meetings and workflow processes
- Utilising an online workflow tool to support with trafficking, resourcing and invoicing
- Liaising with external suppliers, managing internal or external print when required
- Managing budgets for projects, ensuring all relevant notes and processes are completed. Supporting the invoicing of all projects, keeping documentary evidence of all job actions and costs
- Fully conversant with the admin processes of the department
- Providing information in support of the production of account performance reviews
Personal attributes
- Ability to lead projects from concept to completion
- Excellent project management and scheduling skills
- Experience of working in a creative or production studio within a corporate culture
- Knowledge and experience of design and print production processes
- Understanding of online digital asset management and workflow tools
- Confident in liaising with and presenting to clients
- Ability to communicate effectively, both orally and in writing to clients and colleagues
- Ability to work under pressure to tight deadlines
- A very good understanding of customer service with excellent client focus
- Strong service mentality, commitment to service excellence is essential
- Empathetic to client pressures and understanding of industry demands
- Strong organisational skills
- Adaptable, flexible attitude
- Ability to work as a team, supporting your colleagues in London and overseas
- Extensive knowledge of Word, Excel and PowerPoint 2007.
