THE COMPANY:
Globally recongnised Insurance company based in the heart of the city. Their prestigeous offices are a constant buzz with high profile clients filling the halls daily. They are now recruiting for a part time Team Secretary to assist the busy claims team.  

THE ROLE: 
  • Organising corporate lunches and entertainment
  • PowerPoint presentation work from creation and up-dating current templates
  • Creating and maintaining excellent working relationships with clients and their Secretaries. 
  • Book travel including flights, trains, cars, taxis, hotels and currency for all trips in UK and abroad. Arrange complex travel itineraries for overseas trips
  • Arrange internal & external client meetings, presentations, lunches and refreshments
  • Assist in preparation of meetings including producing agendas, collating papers, taking minutes of meetings and ensure actions are followed up and completed
  • Production of PowerPoint presentations
  • Book conferences, seminars, workshops - internal and external and brief staff as appropriate.
  • Complete expense claims, including corporate credit cards to deadline.
  • Maintain filing and pending systems
  • Manage holiday and sickness records using internal HR system
  • Recording and processing of sales and marketing team invoices
  • Liaise extensively with other PAs on day-to-day business and organisational issues

THE PERSON:
  • Ability to multi task and prioritise effectively
  • High level of initiative, discretion, communication and organisational skills essential
  • Able to work in a team environment whilst working on own initiative and being self-motivated
  • Confidence and ability to communicate well at all levels, internally and externally, both in writing and verbally.
  • Flexibility to achieve strict and changing deadlines
