Office Manager with PA duties - Arts Centre/ Workspace facility
£36k
This is a special opportunity for a highly organised Office Manager to assist the Director of this purpose built centre which offers workspaces, conference and meeting rooms as well as a gallery and a public café creating a unique space in which to work, learn and relax.
Office Management:
- To provide coordinated and effective office management to support the management team in delivery of the Centre’s strategic and operational goals. At the heart of this key role is coordination of administrative and reporting services to the Centre team as a whole.
- To oversee the effective delivery and prioritisation of administrative support to the Centre teams, to include administrative support to ensure the efficient running of courses and events delivered through the Professional Training Team and Public Programme Manager.
- To be the point of contact for the Centre’s CRM system, liaising with the Centre management team to provide CRM reporting, data analysis, and CRM training for new users/joiners as required.
- To plan and coordinate management and team meetings, ensuring a focus on outputs/actions and providing timely follow-up actions and timelines.
- To be the Centre’s point of contact for liaison with the Company’s Finance Team, ensuring purchase orders are prepared and monitored and invoices are submitted in line with budget and timescale
- To liaise with the HR Manager with regard to employee issues, including recruitment, induction, employee development and any other staff matters that may arise. The Office Manager will also keep the Centre Staff Handbook up-dated.
- To liaise with the Payroll Manager regarding sickness absence and to maintain both sickness and holiday records for the Centre team members.
- To coordinate the Centre’s ordering of stationery and kitchen supplies.
- To work with the Centre’s Facilities Manager to ensure the general office remains compliant with Health & Safety legislation and supports a positive working environment.
PA Support to the Centre Director:
- To act as secretary to the Centre Board of Trustees’, to include proof-reading, collating and distributing papers for the meetings, and taking the Trustee Meeting minutes.
- To proactively manage the Centre Director’s calendar, organising meetings, travel and accommodation as required.
