A fabulous, ultra high-end private office is looking for a Front of House/Office Manager. We are looking for a super presentable, sleek, friendly, proactive individual who doesn't mind working autonomously. You will join their intimate and family-orientated team based in their stunning townhouse, in the heart of the West End.
WHAT YOU’LL DO:
To be based on the front desk and dealing with 3 boutique companies, all privately owned by the Chairman.
Receptionist duties
To be successful, you will have had experience in a similar role, have common sense and be uber presentable, warm and smiley! You will enjoy working on your own, at the same time as meeting and greeting VIPs.
Essential requirements:
Holiday: 28 days holiday

Receptionist duties
- Meeting and greeting VIP clients, making refreshments
- Answering all incoming calls
- Meeting room diary management
- Arranging lunches for occasional lunch meetings
- Keeping meeting rooms tidy and ready
- Replacing newspapers / magazines throughout the building
- Managing office laundry
- Kitchen supplies / office supplies; ordering
- Arranging couriers
- Printing all interview packs for any sales meetings throughout the day
- Setting up any Skype interviews that are due to take place
- Supporting with sending out client appointment confirmation emails, chasing appointment confirmations and Skype usernames
- Scanning and uploading documents to our CRM and manually entering client data in each file
- Managing any online subscriptions
- Processing all expenses
- Managing process for all incoming invoices
- Filing
- Managing filing/archive room
- Marketing assistance
- First port of call for IT issues
- Perform IT back up
- Postage incoming and outgoing
- Ad hoc administrative support for whole team
- Ensure all paperwork and licenses are up to date
- Liaising with handymen and suppliers
- Management of cleaners
- Management of all building maintenance
