EA/Business Assistant, Berlin Infrastructure Investment Fund
35,000 – 50,000 Euros

A fantastic opportunity for an EA/Business Assistant has arisen in Berlin. A key role, fabulous offices, a great team, and a seriously challenging career ahead! This role will involve managing the office and providing support to the Principal and investment professionals.

• Extensive diary management- responsible for arranging internal and external meetings at all levels and being attentive to priorities whilst using optimal use of the team’s time and continuous changing schedules
• Providing first line support and maintaining diaries using Microsoft Outlook
• Book Internal meeting rooms and/or suitable venues as required
• Complex travel management- prepare travel itineraries globally, including booking flights, accommodation, taxis, trains, visas and other reservations such as restaurants and venues
• Prepare, reconcile and submit all required documentation for expense reimbursement in alignment with the company travel and expense policies along with any currency conversion needed. Along with cost code administration and accurate charging to each department
• Provide general administrative support including phone coverage, message management, filing, post management and binding of investor documents
• Production of invoices for all portfolio companies
• Assisting with logistics when organising client events and facilitate clear communication channels globally
• Assisting with all VCs and calls globally
• Maintain confidential files, including competitive and strategic planning information
• Checking and reproofing reports for various funds
• Production and updating of PowerPoint templates and heatmaps for all sectors
• Office management, procurement, keeping HR records, recruitment, facilities

Benefits 
5 weeks holiday, 9 paid public holidays
Euro 35-50,000 depending on experience
Skills: confident MS Office, German/English bilingual, Spanish useful

Additional Information
Most important for this role is excellent external communication; taking calls and knowing key business contacts and building a strong relationship with them (definitely not just admin). Must be very professional and good humoured, the culture is relaxed but driven, a fast pace, intelligent, intellectual, professional and you’ll need real drive and ambition with passion for your work

In addition to the PA side, this isn’t a start-up but they will be building out the office and setting up the team. This role is for the first person they are looking to hire in Berlin. You’ll not be just doing travel and diary but setting up the office and building the team. For instance, they are in a temporary office and over the next 6 months they want to move to a permanent space.
