ABOUT

Responsible for ensuring the Facilities department maintains and manages the day-to-day running of the company’s central London headquarters facility as efficiently and smoothly as possible. Managing a Facilities team with three direct reports and multiple indirect reports. Responsible for overseeing any refurbishment projects.

 

KEY RESPONSIBILITIES

  • Responsible for all building related matters, including physical infrastructure as well as the aesthetics
  • Liaising with landlords, suppliers and contractors regarding building matters, as needed
  • Ensuring office space is optimised and that seating requirements across multiple teams/projects are effectively planned and managed
  • Providing a welcoming, attentive and professional environment for clients when they visit and/or work from their offices, thinking of their overall experience, food and drink requirements and general support on site etc.
  • Overseeing refurbishment projects and gaining buy in from senior managers where relevant
  • Managing the budgets and reviewing on a yearly basis; assessing any monthly under/overspend, investigating and adjusting accordingly
  • Reviewing supplier budgets on a regular basis and assessing any monthly under/overspend, investigating and adjusting accordingly
  • Reviewing supplier budgets on a regular basis and re-tendering when necessary to ensure the company is getting value for money from suppliers
  • Liaising with infrastructure engineers with regard to maintaining and reviewing infrastructure systems such as power, cooling ventilation etc.
  • Ensuring all relevant Health and Safety/Fire Risk Assessments are carried out at the relevant times/periods
  • Maintaining and updating Business Continuity Document
  • Ensuring that Physical Security standards are maintained at all times
  • Providing all the relevant information on Physical Security required for Security Audits by company clients while working with Client Services Manager and Infrastructure Engineers
  • Ensuring that their client facing areas and meetings rooms are presented and maintained to a high standard
  • Provide leadership and guidance to the Facilities team where necessary
  • Additional tasks and project work, as required

 

KNOWLEDGE & EXPERIENCE

  • Previous experience in facilities/office/building services management
  • Previous management/supervisory experience
  • Experience of working in a media, technology and/or creative environment
