ROLE DESCRIPTION
- As a key role within the agency, you will need to ensure the CEO is optimising his time effectively and in turn is leading the agency successfully
- Professional support provided at all times, while maintaining discretion and confidentiality
- Help to ensure the CEO is sufficiently prepared and informed for all engagements/meetings in advance
- Diary management and workflow support
- Inbox management
- Responsible for CEO and office related expenses
- Support for the organising and smooth running of staff events
- Well versed at greeting important clients and media owners at the office
- Run occasional personal tasks that free up time for company benefit
FURTHER RESPONSIBILITIES
SUPPORTING CEO
- Proactive diary management, taking short/medium and long term view to ensure the CEO is sufficiently prepared for all meetings and there is no wasted time
- Proactive inbox management
- Print materials for preparation for upcoming meetings or as necessary
- Schedule internal and external meetings as required – determine attendees and invite them, prepare/distribute agenda in advance, book suitable venues and arrange for equipment/catering as necessary
- Ensure regular time is scheduled with CEO’s Direct Reports
- Active planning of meetings/events with a month view
- Attend management or other meetings as required, taking notes and minutes enabling succinct and accurate transfer of information
- Travel, accommodation and transfers to be booked for CEO
- Liaise with clients and media owners
- Completion and submission of expense claims including those on the CEO’s company credit card
PA TEAM MANAGEMENT
- Management of the PA Hub totalling 4 PA’s. Day-to-day line management, weekly 1:2:1’s, team meetings, appraisals etc.
KPI’s
- Ensures CEO is fully aware of the week/month ahead and effectively manages this process
- Ensuring CEO’s inbox is kept to a manageable number and nothing is left un-responded to
- Accurately highlighting urgent, confidential, and important correspondence to appropriate personnel as needed
- Effective management of the PA Hub
