A global alternative investment firm is looking for an Executive Assistant A to join their team on a temporary to permanent basis. You will be supporting the company's senior leaders and employees in their critical day-to-day operations, including organising meetings and communicating with clients, as well as personal support and special projects as necessary. The successful candidate will be an experienced Executive Assistant and comfortable supporting a team of five.
Responsibilities:
- Managing international and domestic travel arrangements including flights, visas, hotels, transfers, trains, meals
- Managing diaries including meetings, conferences and video conferences
- Coordinating internal and external meetings with business partners
- Assisting with the preparation of meeting materials and other documents
- Generating complex expense and claim form submissions
- Assisting with general admin including photocopying, printing, scanning, typing, couriers and post
- Working closely with the admin team on ad hoc projects and the overall smooth running of the office
- Fostering company culture and developing creative ways to improve the office environment
- Providing cover for other EAs during annual leave and absence
- Working with admin team globally to develop robust administrative processes
Essential Skills and Experience:
- Minimum 5 years' experience in an executive support role at a senior level
- Experience in the Financial Services sector or another similar corporate background
- Experience supporting an international team/individual in a fast-paced environment, and able to work across different time zones with demanding travel schedules
- Excellent diary-management skills and the ability to cope with multiple changing schedules
- Extremely well organised and able to multi-task, juggle workloads and meet strict deadlines
- Excellent verbal and written communication skills
- Excellent MS Office skills
