A fast-growing construction company based in London is looking for a Site Secretary to join their team on a temporary ongoing basis. You will provide effective, quality and timely information management and administration support to a project and any other site support that is required.

Responsibilities:

  • Controlling document flow, ensuring that all revision-controlled documents are administered and distributed promptly via internal document control system
  • Auditing/monitoring revision-controlled documents and distribute to relevant project team and design team - includes architects, structural engineers, clients. This is based on the project communication system developed by the Project Manager at the start of the project
  • Sending drawings out for copy, ensuring all project team is working from latest copy of drawings/issue via Project Plus as appropriate
  • Managing and following up on the RFI, (request for information), submitted from anyone involved in project and close out of RFI's with relevant parties
  • Managing Operation and Maintenance manual production from sub-contractors and manage approval
  • Formatting large document includes all O&M manuals, Health &Safety information, includes contact details of all that were involved in project
  • Collating and distributing fortnightly project reports as specified by the Project Manager
  • Assisting with incoming and outgoing mail, arranging meetings, answering incoming phones, project champion on document filing
  • General administrative duties i. typing, booking couriers, procurement of stationary

Essential Skills and Experience:

  • 2+ years document control/site administration experience
  • Strong working knowledge of Microsoft Office & Outlook
  • Highly organised with the ability to work on own initiative
  • Attention to detail
  • Able to work in a team environment
  • Strong communication skills
  • Good understanding of how information management fits into the construction process
  • Knowledge and use of document control software
  • "Can do" attitude
