ROLE

The role is designed to provide the required level of proactive and consistent support and assistance. The EA should always be one step ahead, pre-empting situations before they arise and with a high level of attention to detail.

The main priority will be full EA duties for the Company Chairman. The role will also support the Chairman’s interested in all other ventures – which includes Board Membership/Non-Executive & Executive Chairmanship in a number of Brands. These will include a number of other prominent Business ventures and investments, which are controlled and managed by the Company Chairman. You will also be responsible for taking on the diaries, travel and any other ad hoc requirements for the CFO.

 

RESPONSIBILITIES

  • Coordinate calendars for Company Chairman and CFO
  • Set up meetings, lunches and dinners
  • Set up conference calls and video conferences
  • Submit expenses and any finance reports as required
  • Book travel/hotels/transfers and create itineraries accordingly
  • Manage inboxes and act as a gatekeeper
  • Liaise with other support staff within the various businesses the Chairman is involved with to ensure effective and efficient use of time
  • Facilitate internal communications (distribute presentations and information)
  • Office management (health and safety compliance, desk moves etc.)
  • HR assistance (helping on-board new team members and general HR Admin)
  • Order office equipment and keep up to date logs
  • Ad hoc projects
  • Events and Marketing projects for agency brands – a major part of the role as things develop with each Brand

 

SKILLS

  • Ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative and organisational skills and the ability to maintain a realistic balance among multiple priorities
  • Ability to work independently on projects and must be able to work under pressure at times to handle a variety of activities and confidential matters with discretion
  • Conveys credibility and maintains a positive, professional image – both internally and externally
  • Clear communicator with a confidence and gravitas that encourages professional respect
  • Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with staff, board members, external individuals and clients

  • Willingness to grow and build experience in all areas of the business – partnering The Chairman and utilising his business acumen to add this to all parts of the agency’s brands
