The Role

Personal Qualities

  • The main objectives are converting and maximising income from all client requests.
  • Playing a crucial role in client management you must have a passion for the events industry and have a strong background in event delivery / logistics.
  • You must be enthusiastic, proactive, hard working and able to work under your own initiative.
  • You will need to be a team player, working closely within a small team.
  • Excellent communication skills both oral and written and attention to detail are paramount.
  • You must be organised and able to plan to ensure deadlines are met.
  • You must have a good level of understanding of budget management.

Key Responsibilities

  • To Manage and respond to all requests from clients for services; including UK venue Finding, UK and overseas Conference Event Management, Overseas Venues Sourcing and any other reasonable requests received.
  • Taking and developing all clients enquires; working with client deadlines to provide accurate and competitive proposals in line with their requests.  To work as a team with colleagues to ensure that all business opportunities are maximised.
  • Follow up on requests and proposals to clients to ensure that the business is secured and contracted.
  • Maintaining good, professional working relationships with all clients and suppliers. Negotiate with all suppliers to ensure that the company receives the best possible deals for their clients. 
  • Ensure that supplier invoices are paid in line with our contractual obligations and that all payments sent are correct.
  • Work with the Directors and senior personnel to price proposals and groups to ensure that they are operating a profitable and successful business; including ensuring that all commissions due are received, and that all fees due are collected
  • Ensure that the Office Diary system is maintained and checked daily, in order to ensure that all business is efficiently managed and that deadlines are adhered to.
  • Preparation of documentation; to Clients and suppliers, including, full event proposals, rooming lists, flight manifests, costings, event schedules and invoices etc.
  • Work with all internal computer/manual systems and be able to raise invoices, itineraries and any other necessary travel documentation, as required. Our web registration is Cvent.
  • Filing Client/Event details and dead files efficiently, maintaining an organised and accurate system for dead files.
  • Where appropriate and requested and paid for by the client, attend client events and provide on site assistance.
  • Represent the company in a professional and business like manner on all occasions, whether attending a client event or a familiarisation visit.
  • Deputise for the Directors when requested and as appropriate, including supervision of junior members of staff when necessary.
