Our client, an architectural firm based in London, requires an HR Assistant to start ASAP. This is a permanent role and is paying £24 - 26K p/a
Main duties of the HR Assistant role include:
- Advertising roles and managing incoming applications
- Arrange interviews
- Liaise with recruitment agencies and provide feedback
- Support the HR Advisor in designing and administering selection tests
- Generate new starter packs including employment contracts
- Ensure new starters are correctly set up
- Assist HR with the coordination of monthly payroll
- Prepare monthly payroll spread sheet in timely manner
- Complete the monthly pension payments
- Responsible for the continual development and improvement of the induction process
- Provide admin support to the appraisal process
- Co-ordinate and track training sessions
- Take responsibility for the maintenance of the online annual leave system
- Monitor and record all unplanned absences on HR database
- Administering the leaving process which will include, acknowledging employee resignations, calculating leave remaining, arranging exit interviews, process leavers' documentation and update relevant systems and staff list
- Coordinate the Practice's work experience programme which will include, tracking all placements, responding to requests, liaising with project team to identify places for work experience students, provide basic induction, act as point of contact during their placement and monitor feedback
- General duties will include, maintaining employee records, draw up letters to confirm contract changes, track employee visa statuses, provide admin support for reference, mortgage/letting queries, keep track of employment laws changes, undertake process improvement projects, responsible for researching well-being initiatives, be proactive in researching HR topics, assist with any tasks relating to the HR Advisor duties, ensure all work undertaking complies with the requirements laid down in the Company manual and coordinate with other department to ensure seamless new starter procedure and on boarding
- Responsible for the maintenance of the online annual leave system
The successful candidate will be educated to degree level or equivalent and have experience working in an HR Assistant/Administrator or Coordinator capacity. You need to have strong communications skills both spoken and written, highly organised with the ability to multi task and maintain strong attention to detail. You need to be customer focused with the ability to build relationships and gain trust quickly, aware of when to ask for help, demonstrating consistently sound judgement, able to demonstrate a sensitive approach to confidential matters, resourceful and able to solve problems using your own initiative.
