One of our private clients based in Marylebone is looking for a PA to work for 2 Directors and their team. You will need at least 5- 10 years PA experience, have a 'thick skin', ability to work to a deadline and enjoy working in a small team.
Your duties will be as follows:
PA/Office Administrator - job description:
PA duties will include :
Assisting Managing Director & Property Director with sourcing products and obtaining quotes for various property refurbishments
Researching ideas for future projects
Obtaining competitive quotes for utility and other property services
Attending meetings with contractors to take notes and following up on required tasks
Assisting contractors, when required, in sourcing products
Shopping for required items.
Booking tickets/making reservations
Office tasks - Emptying rubbish bins as required, washing up, ensuring office clean/tidy at all times.
Assisting with computers, mobile phones and ipads – trouble shooting problems.
Welcoming visitors, making refreshments etc.
Keeping storage vaults tidy.
Ordering stationery and cleaning/office products.
Delivering letters/parcels when required.
Answering phone and transferring calls to correct staff. Taking messages when required.
Opening post and circulating to correct people.
Managing phone system – ensuring answerphone is monitored out of hours.
Trouble shooting problems with printer/scanner – ensuring toners/paper in stock at all times.
Sourcing/ordering products – ensuring timely delivery.
Residential properties - organising end of tenancy tasks, preparing and dressing flats for marketing.
Ordering furniture from Ikea and ensuring it is delivered to the correct site at on the due date.
Maintaining letting agents list – liaising with them to arrange property viewings.
Maintaining keysafe for all properties, ensuring all keys clearly labelled.
Preparing property mailouts to agents using Inkscape.
Emailing to all agents on master list and following up to ensure receipt.
Dealing with start up of new tenancies.
Booking contractors to deal with repairs.
Maintaining furniture storage area at one of our sites and ensuring inventory of items in stock is kept up to date.
Arranging cleaning of properties and ensuring cleaners’ time sheets are delivered on time.
Making weekly site visits to residential and commercial properties to ensure all in good order.
Communicating any omissions to cleaners and ensuring they are resolved.
Dealing with recruitment requirements - placing adverts, interviewing recruitment companies.
Supervising cleaners’ work at various sites and signing off their time sheets.
Unless otherwise specified a minimum of 2 years relevant experience is required to receive the advertised rate of pay
